Software preparation checklist
- • Confirm your EFIN is active and in good standing for the coming season.
- • Confirm a current PTIN for every preparer in the office.
- • Confirm your office structure: locations, owners, responsible party, preparers.
- • Decide whether your office will offer bank products this season.
- • Prepare business documents: EIN letter, business license, W-9, voided check.
- • Prepare identity documents for owners as required by the bank application.
- • Confirm your Written Information Security Plan (WISP) is current.
- • Confirm hardware, internet, printer/scanner, and secure workstation setup.
- • Identify the authorized contact who will receive software access details.
Office launch checklist
- • Execute your R&A Pro-Tax agreement and complete payment setup.
- • Complete onboarding in the client portal — every required step, not just the first.
- • Submit bank-enrollment documents if participating; track status in the portal.
- • Complete assigned Training Academy modules for owners and preparers.

Data security
Written Information Security Plan
Required for every office under the FTC Safeguards Rule. Review annually and after any staffing change.
Annual security awareness training
Required for all staff handling taxpayer data. Assigned through the Training Academy.
Access control
Individual logins only. No shared credentials. Remove access the day someone leaves.
Document handling
Taxpayer documents belong in the secure portal vault — never in personal email, text, or consumer cloud storage.
Incident response
Know who to notify and how, before an incident happens. Report suspected compromise through a support ticket immediately.
EFIN & PTIN information
Every office files under its own active EFIN, and every paid preparer holds a current PTIN. R&A verifies that your credentials are on file and unexpired as part of onboarding and annual renewal — R&A does not issue, transfer, or share credentials, and never files under another office's EFIN.
Applications and renewals are completed directly with the IRS using the official links above.
Bank enrollment information
If your office offers refund transfers or advances, enrollment is a separate application to a participating bank. R&A assists with document collection, submission support, and status tracking inside your portal.
Approval, fee schedules, advance availability, and funded-return minimums are set by the bank and confirmed in writing during enrollment.

Frequently asked questions
Before you enroll.
Do I need my own EFIN?
Yes. Your office files under its own IRS-issued EFIN. R&A does not issue, lend, or share EFINs.
When do I receive software access?
After purchase, agreement execution, and completion of your onboarding requirements. Access details are delivered inside the secure client portal, not by public link.
Is there a public demo of the software?
No. There is no public software demo URL. Enrollment conversations with an R&A representative cover what the software does and how it is delivered.
Are bank products guaranteed?
No. Bank enrollment is a separate application to a participating bank, with its own terms, minimums, and approval decision.
What are the funded-product minimums?
Minimums are set by the participating bank and confirmed in writing during enrollment. They are never quoted from a web page.
Is the CRM the same as the tax software?
No. The tax software prepares and transmits returns. The CRM is a separate ROSSNEXUS operating layer for clients, documents, communications, tickets, and office operations.
What training is included?
Training Academy assignments are attached to your office record. Published paths are marked Available; everything else is labelled Preview or Planned.
How do I get help?
Through the Support page or the client portal. Every request creates a trackable ticket routed to the correct R&A team.
